Planning a trip can be one of the most exciting parts leading up to your trip, but it can also be one of the most overwhelming. Between researching destinations, comparing hotels, figuring out transportation, and deciding what to do each day, putting together a great itinerary takes a lot of work.

Personally, I love the planning process. I’ve been traveling for more than 20 years, and researching destinations and building itineraries is something I genuinely enjoy. Seriously! Sometimes I find myself researching destinations I have no plans to visit anytime soon. That’s also why I started offering custom trip-planning services through Traveling Tessie about five years ago.

But I know not everyone feels the same way. Some people love researching every detail of their vacation, while others would rather spend their time looking forward to the trip instead of figuring out all the logistics.

That’s where a travel planner can help.

If you’ve ever wondered what a travel planner actually does, how they’re different from a travel agent, or whether it’s better to plan a trip yourself, I’ll walk you through the differences and help you decide which option makes the most sense for your next vacation.

What Is a Travel Planner, and What Do They Actually Do?

A travel planner is someone who helps you research, organize, and create an itinerary for an upcoming trip. Instead of spending hours figuring out where to stay, what to do, and how to get around, you can work with someone who does much of that research for you.

Travel planners offer different services, but the goal is generally the same: to make trip planning easier and help you feel more prepared before you leave.

Through my custom trip planning service at Traveling Tessie, I create personalized itineraries based on your destination, interests, travel style, budget, and available time. Depending on what you need, that can include accommodation recommendations, restaurants, activities, transportation options, and help figuring out the logistics of getting from one place to another. Rather than handing you a generic list of attractions, I focus on building a trip that fits how you actually want to travel.

That might mean finding smaller towns or lesser-known experiences near a popular destination, recommending accommodations that fit your preferences, or helping you make the most of a limited number of vacation days.

One important thing to understand is that hiring a travel planner doesn’t necessarily mean handing over every aspect of your vacation. With my service, I handle the research and itinerary recommendations, but at the end of the day, you still make your own reservations.

If you love traveling but don’t love all the planning that comes before it, having someone organize the details can make a big difference!

Travel Planner vs. Travel Agent: What’s the Difference?

Travel planners and travel agents can offer similar services, but one of the biggest differences is how involved they are in booking and managing your trip.

A traditional travel agent typically helps travelers book flights, hotels, cruises, tours, or vacation packages. Depending on the agency and services offered, they may also help with reservation changes, cancellations, or other issues that come up while you’re traveling.

On the other hand, a travel planner focuses more on researching destinations, recommending experiences, and building a personalized itinerary. There are some travel planners who also handle bookings, so it’s important to know exactly what’s included before you hire someone.

What You Can Expect From My Custom Trip Planning Service

With the services I offer, my role is to help you plan your trip before you leave. I research your destination, develop a personalized itinerary, and provide recommendations and logistical guidance based on your interests and preferences.

You’ll receive the information you need to make your own reservations, and we’ll review your itinerary together before your trip.

One important distinction is that I don’t book travel on your behalf or provide on-the-ground assistance while you’re traveling. My service ends once I deliver the itinerary and complete our agreed-upon planning process.

That means if you need someone to manage reservations, handle unexpected cancellations, or assist you during your trip, a travel agent who offers those services may be a better fit.

Neither option is necessarily better than the other. It really comes down to how much help you want, what kind of support you need, and which parts of the planning process you’d prefer to handle yourself.

Should You Plan Your Trip Yourself or Hire Help?

There’s no right or wrong way to plan a vacation. Some people, like me, genuinely enjoy spending hours researching destinations, comparing hotels, and building their own itineraries. Others find the entire process overwhelming and would rather have someone help them figure it all out.

I fall firmly into the first category. I love researching trips almost as much as I love taking them! But after years of planning my own vacations and creating itineraries for other travelers, I’ve learned that not everyone wants to spend their free time doing the same thing.

When DIY Trip Planning Makes Sense

If you enjoy researching destinations, have the time to put together an itinerary, and feel comfortable coordinating the logistics yourself, planning your own trip can be a great option.

You’ll have complete control over your plans, from choosing accommodations to deciding how much time to spend in each destination. You can also save money by doing the research yourself instead of paying someone for planning help.

DIY planning works especially well for shorter trips, destinations you’re somewhat familiar with, or vacations that don’t require much coordination of transportation and activities.

The biggest tradeoff is your time. Researching hotels, comparing transportation options, checking opening hours, and figuring out how everything fits together can take longer than you might expect.

When Hiring a Travel Planner Makes Sense

If you really don’t like to research or get overwhelmed easily, hiring a travel planner can be a really good option for you. It’s also a great option if you have limited time to plan and just want a more hands-off experience.

It can also be helpful when you’re visiting somewhere unfamiliar, planning a longer vacation, or trying to combine multiple destinations without spending too much time getting between them.

Instead of starting your research from scratch, you pay someone to narrow your options and put together an itinerary based on your interests, budget, and travel preferences.

The trade-off is that there’s an additional cost involved, which can eat into your travel budget, and you’ll still need to communicate what exactly you’re looking for and review the recommendations. With my service, you’ll also make your own reservations, so there’s still a level of flexibility here.

Ultimately, the decision comes down to how much you enjoy planning, how much time you have, and whether you’d rather spend that time researching your trip or having someone help you put it together.

What Kind of Travel Planning Help Do You Need?

‍Hiring someone to plan your entire vacation isn’t your only option. Sometimes you just need a little help getting organized or a second opinion on an itinerary you’ve already started.

That’s why I offer a few different ways to help, depending on how involved you want to be in planning your trip.

If You Want to Plan Everything Yourself

If you enjoy researching destinations and building your own itinerary, my free Travel Itinerary Template is a great place to start.

This is the exact template I use on all my trips, and it really helps me plan. I built this template years ago and have made improvements over time. It’s designed to help you organize your plans, keep track of reservations, and bring all your trip details together in one place.

If You Just Need a Little Guidance

Maybe you’ve already started planning your trip but aren’t sure which neighborhood to stay in, how to organize your days, or whether your itinerary is realistic. Or maybe you’re debating between a couple of similar destinations, and you need help narrowing it down.

My Travel Planning Power Hour is for travelers who want personalized guidance without someone building their entire trip.

It’s a way to talk through your questions, get another perspective, and feel more confident about the decisions you’re making. Just you, me, and your travel ideas for one full hour.

If You’d Rather Have Someone Build Your Itinerary

If you don’t have time or interest in researching and organizing everything yourself, my Custom Trip Planning Service may be a better fit.

I’ll create a personalized itinerary based on your interests, budget, travel style, and available time, including recommendations for activities, restaurants, accommodations when needed, and transportation logistics.

You’ll still make your own reservations, but you won’t have to start the planning process from scratch.

Whether you love researching every detail of your vacation or would rather have someone put everything together for you, there’s no single right way to plan a trip.

The key is finding an approach that fits your time, budget, and how involved you want to be in the planning process.

If you enjoy doing the research yourself, there’s no reason you can’t create an incredible itinerary on your own. But if planning feels more stressful than exciting, getting a little help can make the process much more manageable.

The goal isn’t to create a perfect itinerary every time; it’s to feel prepared for your trip and have more time to enjoy the experiences you’re traveling for! In my opinion, even a rough plan is better than no plan.

Happy travels!
